Lesson 1 of 16
What Google Workspace is
Welcome to Google Workspace. Chances are you've used Gmail or Google Docs already — but Workspace is a whole connected suite of productivity tools that, used well, lets you work faster and collaborate in real time from anywhere. This lesson covers what Google Workspace is. Let's get the big picture. Let's begin.
What Google Workspace is
GOOGLE WORKSPACE = Google's CLOUD-BASED PRODUCTIVITY SUITE — a connected set of tools for
communication, documents, + collaboration, all running in your BROWSER (+ mobile apps) + saving
automatically to the CLOUD. (Formerly called "G Suite"; the free personal version is just your Google
account.) It's Google's answer to Microsoft Office — but built cloud-first + collaboration-first.
THE CORE APPS (what's in the suite):
- GMAIL — email. Your inbox + communication hub.
- GOOGLE DRIVE — cloud storage. Where all your files live online (accessible anywhere).
- GOOGLE DOCS — documents (word processing). Write letters, reports, notes.
- GOOGLE SHEETS — spreadsheets. Data, calculations, trackers, budgets.
- GOOGLE SLIDES — presentations. Slide decks.
- GOOGLE CALENDAR — scheduling. Events, meetings, reminders.
- GOOGLE MEET — video calls/meetings.
- GOOGLE FORMS — surveys, quizzes, + data collection.
- (+ Chat, Keep (notes), Sites, + more.)
All connected: your files in Drive, shared over Gmail, edited in Docs/Sheets/Slides, meetings in
Calendar/Meet — one integrated ecosystem tied to your Google account.
WHAT MAKES IT DIFFERENT (why it matters):
- CLOUD-BASED — everything lives online + AUTO-SAVES continuously (no "save" button; no lost work).
Access your files from ANY device, anywhere, by signing in. No installing heavy software.
- REAL-TIME COLLABORATION — the killer feature: MULTIPLE PEOPLE can edit the SAME document/sheet/slide
AT THE SAME TIME, seeing each other's changes live. Share a link + collaborate instantly. This
transformed how teams work.
- FREE / ACCESSIBLE — a personal Google account gives you all of this FREE (with generous storage);
businesses/schools use paid Workspace plans (custom email, more storage, admin controls). Anyone can
use it.
- INTEGRATED + SIMPLE — the apps work together seamlessly + are easy to learn (simpler than desktop
office suites for most tasks).

Why learn it and this course
WHY LEARN GOOGLE WORKSPACE (its value):
- IT'S EVERYWHERE — used by billions of people + millions of businesses, schools, + organisations. A
standard workplace + study tool. Knowing it well is a baseline professional skill.
- WORK FASTER + SMARTER — used properly (not just clicking around), Workspace saves huge time —
organised files, efficient email, powerful spreadsheets, quick collaboration. Productivity.
- COLLABORATE — real-time co-editing, comments, + sharing make teamwork seamless (remote or in-person).
Essential for modern work + study.
- FREE + ACCESSIBLE — no cost to start (a Google account); works on any device. Learn valuable skills
for free.
- TRANSFERABLE — the concepts (documents, spreadsheets, presentations, email, collaboration) apply to
Microsoft Office + other tools too. You learn productivity, not just Google.
WHAT THIS COURSE COVERS: getting the most from each core app — Gmail (email like a pro), Drive (files
+ organisation) + sharing/permissions, Docs (+ real-time collaboration: comments/suggestions/history),
Slides (+ templates + productivity), Sheets (the big one — basics, formulas/functions, sorting/
filtering/cleanup, charts + pivot tables), Calendar + Meet, Forms, light automation + add-ons, +
practical tips (offline, mobile, keyboard shortcuts). By the end you'll USE Workspace efficiently +
collaboratively — a genuine productivity skill.
THE APPROACH: not just "where the buttons are", but how to WORK WELL — organised, efficient, +
collaborative. Practical + hands-on.
THE PRINCIPLE: GOOGLE WORKSPACE = Google's CLOUD productivity suite (Gmail, Drive, Docs, Sheets,
Slides, Calendar, Meet, Forms — all connected to your Google account), built CLOUD-FIRST (auto-saves,
access anywhere) + COLLABORATION-FIRST (real-time co-editing — the killer feature). It's free,
everywhere, + a core professional skill. This course teaches you to use it FAST + collaboratively —
not just click around, but genuinely work well. Let's master it.

The mistake beginners make
The first mistake is using only one app in isolation — treating Gmail or Docs as standalone, missing the integrated ecosystem (Drive + sharing + collaboration); use the connected suite. The second mistake is not using real-time collaboration — emailing files back + forth instead of co-editing a shared doc (the killer feature); share + collaborate live. The third mistake is worrying about saving — hunting for a "save" button; Workspace auto-saves to the cloud continuously (no lost work). And just clicking around — using Workspace inefficiently without learning the time-saving ways; learn to work well (organised, efficient). And thinking it's only for tech people — it's free + simple + a baseline skill for everyone; anyone can master it. Use the connected suite, collaborate in real time, trust auto-save, learn to work efficiently, and know it's for everyone.
Your turn
Your turn
- Understand the suite: Google Workspace is Google's cloud productivity suite - Gmail (email), Drive (storage), Docs (documents), Sheets (spreadsheets), Slides (presentations), Calendar (scheduling), Meet (video), Forms (surveys) - all connected to your Google account, running in the browser.
- Grasp what makes it different: it's CLOUD-BASED (auto-saves continuously, access from any device anywhere - no 'save' button) and built for REAL-TIME COLLABORATION (multiple people editing the same file at once, live - the killer feature).
- See the value: it's everywhere (a baseline professional skill), lets you work faster + collaborate seamlessly, is free + accessible (a Google account), and transferable (concepts apply to MS Office too).
- Sign in + explore: with a free Google account, open Drive (drive.google.com) and the app launcher (the grid icon) to see Gmail, Docs, Sheets, Slides, Calendar, Meet, and Forms all in one place.
- Set your mindset: aim to WORK WELL (organised, efficient, collaborative) - not just click around - and use the connected ecosystem (files in Drive, shared over Gmail, co-edited in Docs/Sheets/Slides) rather than each app in isolation.
