Gmail like a pro

Email is where most work starts — and a chaotic inbox costs you time and stress every single day. Gmail like a pro is about turning your inbox from a pile into a smooth, organised system. This lesson covers Gmail like a pro. Let's tame the inbox. Let's get efficient.

Composing and organising email

GMAIL = Google's email app — but used WELL, it's a productivity system, not just an inbox. The
goal: process email efficiently + keep your inbox under control (not a source of stress). The key
skills:

COMPOSING GOOD EMAIL:
- COMPOSE — click "Compose"; fill TO (recipient), a clear SUBJECT (the topic — recipients decide by
  it), + your message. Use CC (others who should see it) + BCC (hidden recipients — for privacy /
  mass sends). REPLY (to sender) / REPLY ALL (to everyone — use carefully!) / FORWARD (pass on).
- WRITE WELL — a clear subject, a concise message, a polite tone, a clear ask/next step. Attach files
  (the paperclip) or, better, insert a Drive LINK (recipients always get the latest version + no size
  limits). Add a SIGNATURE (Settings — your name/role/contact auto-added).

ORGANISING YOUR INBOX (the pro part):
- ARCHIVE, don't just leave everything in the inbox — ARCHIVE (removes from inbox, keeps it, findable
  by search) emails you're done with. DELETE junk. Aim to CLEAR the inbox (only actionable items
  remain) — "inbox zero" as a target.
- LABELS — Gmail's folders (but an email can have MULTIPLE labels). Create labels (Work, Personal,
  Projects, Receipts) + apply them to categorise. Colour-code them. Organise by topic.
- FILTERS — RULES that auto-handle incoming mail: e.g. "from newsletters@ -> skip inbox + apply
  'Newsletters' label" or "from my boss -> star + never spam". Filters AUTOMATE sorting so you don't
  do it manually. A huge time-saver — set them up for recurring senders.
- STARS / IMPORTANT — mark key emails with a STAR (flag for follow-up) or use Gmail's Important
  markers. SNOOZE — hide an email until a later time/date when you can deal with it (it returns to the
  top). Great for "not now, but don't forget".
- CATEGORIES / TABS — Gmail auto-sorts into Primary, Social, Promotions tabs (keeps promos out of your
  main view). Configurable.

WORKING EFFICIENTLY (the pro habits):
- PROCESS, DON'T JUST READ — for each email decide: DELETE/archive, REPLY (if quick — do it now),
  DEFER (snooze/star for later), or DELEGATE/forward. Don't leave everything sitting. Touch it once.
- USE FILTERS + LABELS to auto-organise recurring mail (newsletters, receipts, notifications) so your
  inbox stays clean automatically.
- SEARCH instead of scrolling — to find an old email, SEARCH (with operators). Fast.

The mistake beginners make
